Configuring your event settings on EventBookings is a critical step in ensuring a successful and seamless event experience for both organisers and attendees. These settings allow you to personalise various aspects of your event, such as booking restrictions, ticket capacity, and attendee options. Here is a detailed guide to help you understand and effectively manage your event settings. 

Step 1: Navigate to the Settings 

Begin by logging in to your EventBookings account. Once logged in, access the organiser dashboard, where you can manage all aspects of your event. Locate the Settings option in the dashboard menu and click on it to proceed to the configuration page. 

Step 2: Open the Event Settings Dropdown 

Within the Settings menu, you will find an Event Settings dropdown menu. Click on it to expand the list of available customisation options. Each of these options plays a vital role in shaping how your event operates, so it’s important to carefully review and adjust them based on your event’s requirements. 

Event Settings Options: 

  • Restrict Ticket Booking 

If you want to limit ticket purchases based on specific criteria, such as age restrictions, requiring attendees to provide contact information, or allowing only those with an invitation code to book tickets, this option will help you achieve that. This is a premium feature of EventBookings. To access it you will need to upgrade your event or organisation to a “Premium Plan”. Disabling the restriction ensures anyone can book tickets freely, but enabling it gives you control over who can access your event. This is particularly useful for exclusive or private events where access needs to be carefully managed. 

  • Set Event Capacity 

For events with a limited venue size or a capped audience, setting a maximum capacity is essential. By enabling the event capacity feature, you can specify the number of tickets available. Once this limit is reached, any remaining tickets will automatically appear as Sold Out to attendees. This ensures you never exceed the venue’s capacity and helps maintain a well-organised event. 

  • Set Customer Capacity 

To prevent any individual attendee from purchasing an excessive number of tickets, you can enable the customer capacity option. This feature allows you to set a limit on how many tickets each customer can book for your event. For recurring events, the limits apply individually to each occurrence, ensuring fair access across all event dates. This is especially beneficial for events with high demand. 

  • Enable Waiting List 

When tickets sell out, many organisers lose potential attendees. The waiting list feature allows you to capture this interest by letting attendees join a queue when no tickets are available. If additional tickets are released or cancellations occur, you can notify people on the waiting list, ensuring maximum attendance and satisfaction. 

  • Enable Guest Checkout 

Simplify the ticket purchase process for your attendees by enabling guest checkout. With this option, attendees can book tickets without creating an EventBookings account. This feature is ideal for events where ease and speed of transaction are priorities. By allowing guest checkout, you reduce barriers to entry and make the experience more user-friendly for attendees. 

  • Add Event Terms & Conditions 

To ensure attendees understand and agree to your event’s policies, you can enable the terms and conditions feature. This option prompts attendees to accept your event’s terms during the ticket purchase process. You can add your policies, such as refund rules, entry requirements, or behaviour expectations, ensuring clear communication and minimising potential disputes. You can also add PDF or link or custom the text in the text box and based on that, the uploader/text box will be changed. The best part is that if you want you can add the “Terms and Conditions” in your own language. 

  • Manage Event Reminder Emails 

EventBookings provides an automated reminder email feature that helps keep your attendees and invitees informed as the event date approaches. These reminders can include essential details such as event timing, location, and any updates. If you prefer not to send reminders, you can disable this feature. However, keeping it enabled is a great way to boost engagement and attendance rates.
