How Timezone Works in EventBookings 

When setting up an event in EventBookings, it’s crucial to understand how timezones work to ensure your attendees see the correct event time. This article will explain how timezones, daylight saving time (DST), and the “Do not convert this to customers’ timezone” option affect your event listings. 

Setting Time Zone for User 

Configuring the correct time zone in your EventBookings account ensures that all event details are displayed accurately based on your location. Follow the steps below to update your time zone settings. 

Step 1: Log in to Your Account 
Begin by signing in to your EventBookings account using your registered email and password. Ensure that your credentials are correct to prevent any login issues. 

Step 2: Go to Your Profile Dashboard 
Once logged in, navigate to your profile dashboard. This section provides access to your account settings and personal preferences. 

Step 3: Access the Settings Section 
Locate and click on the Settings option in your dashboard. This section allows you to manage various aspects of your account, including time zone preferences. 

Step 4: Select Your Time Zone 
Click on the Time Zone dropdown menu. From the list of available options, select the time zone corresponding to your current location. Choosing the correct time zone ensures that all event timings are displayed accurately based on your region. 

Step 5: Save the Changes 
After selecting your time zone, click the Update button to save the changes. Your account will now reflect the correct time zone for all event schedules and notifications. 

By following these steps, you can ensure that all event times in your EventBookings account align with your local time.

Setting the Time Zone for Organisation 

If you are managing an organisation on EventBookings, you need to ensure that the time zone is correctly set before publishing events. Follow these steps to update your organisation’s time zone: 

Step 1: Go to the Organiser Dashboard 
Access your EventBookings account and navigate to the Organiser Dashboard. This section allows you to manage organisation-related settings and events. 

Step 2: Click on the Organisation Profile 
Locate and click on your organisation’s profile to view and edit the settings related to your organisation. 

Step 3: Edit the Time Zone 
Click on the pen icon next to the time zone field. A dropdown menu will appear, allowing you to select the correct time zone for your organisation. 

Step 4: Update and Save Changes 
After selecting the correct time zone, click the Update button to save the changes. This will ensure that all future events reflect the updated time zone settings. 

Important Note: 

Before creating an event, you can update your organisation’s time zone as needed. However, once an event has been published, the time zone cannot be changed. Make sure to review and confirm the correct time zone settings before publishing any events. 

By following these steps, you can ensure that all event times in your EventBookings account align with your local time.

Changing the Time Zone in Existing Events 

If you need to update the time zone for an event that has already been created, follow these steps to ensure the changes take effect properly: 

Step 1: Go to the Event Dashboard 
Log in to your EventBookings account and navigate to the Event Dashboard of the event you wish to modify. This section provides an overview of the event settings and allows modifications as necessary. 

Step 2: Navigate to the Information Section 
Locate and enter the Information section of the event. This section contains all the key details, including event timing, venue, and configuration options. 

Step 3: Enable/Disable Do not convert this to the customer’s time zone 
If required, tick the Do not convert this to the customer’s time zone option. This ensures that all attendees see the event in the specified time zone without automatic adjustments based on their location. 

Important Note 

After changing time zone of an existing event, you need to regenerate PDF of sold event tickets and send them to the attendees through email. 

By following these steps, you can ensure that all event times in your EventBookings account align with your local time.

The “Do Not Convert This to Customers’ Timezone” Option 

During the event creation process, you will see a checkbox labeled “Do not convert this to customers’ timezone.” This option controls how the event time is displayed to attendees: 

If left unchecked (default setting): 

  • EventBookings will automatically convert the event time to match each attendee’s local timezone. 
  • For example, if an event is set for 7:00 PM Sydney time (AEST), an attendee in London (GMT) will see the event time converted to 10:00 AM their local time. 

If checked: 

  • The event time remains fixed and will be displayed exactly as the organiser set it, regardless of the attendee’s timezone. 
  • This is useful for in-person events or situations where the event is tied to a physical location with a fixed time, and you do not want any automatic conversions. 

Updating Timezone After Publishing 

EventBookings allows organisers to update the event timezone even after publishing. However, changing the timezone will adjust the event’s scheduled time accordingly. For example: 

  • If an event was originally scheduled for 7:00 PM Sydney time (AEST) and the organiser changes the timezone to London (GMT), the event will now be scheduled for 8:00 AM GMT. 
  • This change will also reflect in attendees’ views, depending on whether the conversion checkbox was selected. 

Daylight Saving Time (DST) Considerations 

Daylight saving time (DST) can impact event times, especially if the event date falls within the DST transition period. Different countries and regions switch to and from DST on different dates, which can affect how an event’s time is displayed. 

How DST Affects EventBookings: 

  1. If automatic conversion is enabled (checkbox unchecked): 
  • The system will adjust the event time based on the attendee’s local timezone and whether DST is in effect. 
  • For example, if an event is scheduled for 7:00 PM Sydney time (AEST) and an attendee in London (GMT) registers before DST starts, they may see the time change when their country enters or exits DST. 
  1. If “Do not convert this to customers’ timezone” is selected: 
  • The event time remains fixed, and attendees must manually adjust based on their own timezone’s DST status. 
  • This could mean that an attendee who originally thought an event was at 6:00 PM might later realise it now falls at 7:00 PM due to DST. 

Best Practices for Setting Event Timezones 

  • Always select the correct timezone when creating your event to prevent confusion. 
  • Consider whether attendees are likely to be from different regions. If so, leaving the default timezone conversion enabled is generally recommended. 
  • If your event is tied to a physical location, selecting “Do not convert this to customers’ timezone” ensures consistency. 
  • Communicate clearly with attendees about any potential timezone differences, especially around daylight saving time transitions. 
  • If updating the timezone after publishing, double-check the new event time to ensure it aligns with expectations.
